Welcome to Oak & Iron Fitness! Whether you are a new member of our team or have been with us for a while, we are excited to have you on board. We believe that our staff is one of our most valuable assets, and we look forward to a productive and fulfilling partnership as we work together to elevate our community through fitness and wellness.

 

This handbook serves as a guide for the employer-employee relationship at Oak & Iron Fitness. It provides general information and guidelines, but it is not exhaustive and may not cover every scenario or exception regarding our policies and procedures. If you have specific questions about benefits, policies, or how they apply to you, please reach out to any member of our Leadership Team, which includes our Founder/CEO, Operations Manager, Vice President of Operations, Vice President of Finance, and Vice President of People.

 

Please note that this handbook and any other company documents do not create a contractual right to employment. Your employment is at will, meaning it can be terminated by either you or Oak & Iron Fitness at any time and for any reason, without prior notice. Only the Founder/CEO and President/COO have the authority to make agreements regarding employment duration or terms that differ from this policy.

 

The practices, policies, and benefits outlined in this handbook may change over time, and we will keep you informed of any updates as they occur. Some topics are covered in more detail in official policy documents, so be sure to refer to those for specific information, as the terms of written insurance policies will always take precedence over any statements made in this or other documents.

Welcome to the Oak & Iron Fitness family! You are now an integral part of our close-knit community, and we’re thrilled to have you on board.

Oak & Iron Fitness was founded in 2021 by Matt Gulliver, who has been passionate about sports and health from a young age. His academic success and interest in the human body led him to earn a degree in Physical Education. Like many young adults, Matt graduated without a clear career path and ventured into corporate America.

 

However, he soon found himself trapped in the daily grind, yearning for purpose and fulfillment. Though he gained invaluable business experience, he realized that his physical and mental health had taken a backseat.

 

Recognizing this, Matt began personal training part-time, discovering a renewed sense of joy in helping others and witnessing the positive impact he could make. Driven by this passion, he left the corporate world to dedicate himself fully to fitness, allowing him to not only help individuals achieve their health goals but also to actively engage with his community. Through partnerships with local businesses, volunteer work, and social clubs—including leading a local book club—Matt has built a strong network throughout the Triangle area.

 

With seven years of coaching experience and five years managing Heat Studios, Matt was ready to embark on his journey as a small business and gym owner. Armed with CSFC and CSCS certifications, he combines nationally recognized training with hands-on coaching and management experience. He has crafted a program designed to anticipate challenges, pave the way for a healthy lifestyle, and, most importantly, promote balance in life.

 

Matt envisioned Oak & Iron as a space where individuals can build a fulfilling career in fitness, make a positive impact in their community, and provide for their families. Our mission is to help others establish healthy habits and foster a sense of belonging within our community.

 

Since our inception, Oak & Iron has continued to grow, reflected in our proven track record of success. We look forward to your contributions as we work together to inspire and uplift those around us.

Conduct & Behavior

 

Standards of Conduct

 Oak and Iron Fitness is a professional business built on the trust and goodwill we cultivate with our clients. Since clients often associate their experience with the individual employees they interact with, your performance and treatment of our clients will significantly influence their satisfaction with our gym.

 

To ensure an orderly and efficient operation, it is crucial to maintain proper standards of conduct and adhere to established procedures. Specifically, regarding communication via Slack and email, employees are expected to respond to Slack messages within the same business day and emails within 24 hours. These guidelines are meant to be informational and are not exhaustive.

 

Oak and Iron Fitness considers the following behaviors inappropriate and grounds for disciplinary action, up to and including termination:

  1. Negligence or inconsiderate treatment of any client or their matters, including fitness plans and personal information.
  2. Theft, misappropriation, or unauthorized possession or use of property, equipment, or funds belonging to Oak and Iron Fitness, or any client or employee.
  3. Unauthorized disclosure of business secrets or confidential information, including Oak and Iron Fitness’s trademarks, logos, and branding used for commercial purposes.
  4. Misuse or unauthorized disclosure of confidential information not available to external parties.
  5. Sharing confidential financial data or other proprietary information regarding clients or partners.
  6. Altering or falsifying client records, company records, or employee documentation, including attendance and payroll records, without authorization.
  7. Willfully or carelessly damaging property belonging to Oak and Iron Fitness, clients, or other employees. Accepting or offering bribes or gifts must be reported immediately to management. Violating security, safety, or health regulations is also prohibited.
  8. Unprofessional or disrespectful behavior toward clients or the public while performing job duties.
  9. Insubordination or refusal to follow instructions from supervisors or management, including refusing job assignments.
  10. Sleeping during working hours.
  11. For non-exempt team members, recording time for another employee or having their time recorded by another employee is prohibited.
  12. Use or possession of illegal narcotics or drugs on Oak and Iron Fitness premises or reporting to work under their influence.
  13. Use of tobacco products or alcohol during client interactions unless pre-approved by management (e.g., at client dinners).
  14. Unauthorized possession of weapons on Oak and Iron Fitness premises, unless permitted by law.
  15. Falsifying employment applications or work history.

 

 

Anti-Discrimination & Harassment Policy

 Oak and Iron Fitness is committed to providing equal opportunities for all employees and applicants, without regard to race, color, religion, age, gender, sexual preference, national origin, veteran status, marital status, pregnancy, sexual orientation, physical or mental disability, or any other characteristic protected by law.

 

This policy applies to all aspects of employment, including recruitment, promotion, compensation, training, and working conditions. All employment decisions will be made without prejudice or discrimination.

 

Discrimination based on the aforementioned characteristics is strictly prohibited and applies to all workplace interactions, including those involving supervisors, co-workers, or non-employees. Violations may result in disciplinary action, up to and including termination.

 

 

Harassment

 In line with our commitment to equal opportunity, harassment in the workplace based on race, sex, religion, national origin, age, height, weight, marital status, veteran status, genetic information, or disability will not be tolerated. Harassment may include verbal, physical, or visual conduct that creates an intimidating or hostile work environment or interferes with work performance. Examples include slurs, offensive jokes, or unwelcome advances of a sexual nature.

 

Oak and Iron Fitness prohibits making employment decisions based on any of the aforementioned characteristics.

 

 

Complaint Procedure

 Employees who feel they have been discriminated against or harassed based on protected characteristics should report the matter in writing to their direct supervisor. If the supervisor is the alleged discriminator or if an employee is uncomfortable reporting to them, they may escalate the complaint to the Vice President of People or another member of Leadership.

All reported complaints will be investigated thoroughly, promptly, and impartially.

 

Oak and Iron Fitness is dedicated to protecting the integrity of its investigations and ensuring confidentiality. Violating confidentiality requirements may lead to disciplinary action, up to and including termination.

 

The goal of this provision is to encourage reporting of discrimination and harassment, to enable Oak and Iron Fitness to address such issues promptly, and to protect the confidentiality of the complainant.

 

If discrimination or harassment is confirmed, appropriate disciplinary action will be taken, which may range from warnings to termination, depending on the circumstances.

 

 

Retaliation

 Oak and Iron Fitness will not tolerate retaliation against any employee for making a good faith complaint of discrimination or harassment or for participating in an investigation. Employees who believe they have experienced retaliation should report it immediately to the Vice President of People or a member of Leadership. Complaints will not harm an individual’s employment status.

 

 

Bullying Policy

 At Oak and Iron Fitness, we recognize the importance of a supportive and respectful workplace. To foster a positive environment, we have a strict anti-bullying policy. Workplace bullying can have serious repercussions, including the loss of valuable team members, decreased morale, and reduced productivity.

 

 

Definition of Workplace Bullying:

 Workplace bullying is characterized by repeated, unreasonable actions directed at an individual or group that aim to intimidate, degrade, or undermine them. This behavior is unacceptable, and Oak and Iron Fitness will not tolerate it.

 

 

Responsibilities of Leadership:

 Our leadership team is committed to ensuring a bullying-free environment. Any employee found engaging in bullying behavior will face disciplinary action, which may include termination.

 

 

Reporting Procedures:

 We encourage all employees to report any instances of workplace bullying to a manager they trust or to the Human Resources department. All reports will be taken seriously, investigated promptly, and handled with confidentiality. Retaliation against anyone who reports bullying or participates in an investigation is strictly prohibited.

 

 

Workplace Violence & Security

 Oak and Iron Fitness prioritizes the safety of our employees and clients. We maintain a zero-tolerance policy for any acts of violence or threats.

 

 

Policy on Violence:

 Any employee who commits or threatens violence on company premises will be subject to immediate termination. Every employee shares the responsibility to identify and report any threatening behavior. If you feel unsafe or aware of a threat, please report it to your supervisor or HR immediately.

 

 

Progressive Discipline & Performance Improvement:

 We expect high performance from all team members at Oak and Iron Fitness. If an employee’s performance falls short of our standards, we encourage them to seek guidance from their supervisor to improve.

 

 

Disciplinary Actions:

 Our approach to discipline is constructive, aimed at enhancing job performance rather than punitive measures. If an employee does not show improvement, progressive disciplinary actions may follow, including reassignment or termination.

 

 

Performance Improvement Plans (PIPs):

 A PIP may be implemented to help employees enhance their performance. This plan may involve verbal or written feedback regarding job performance. The company retains the right to administer disciplinary actions, including immediate termination, as necessary.

 

 

Guidelines for Disciplinary Actions:

  1. Verbal Counseling: Supervisors will discuss performance issues with the employee and provide guidance for improvement. Documentation of this discussion will be maintained.
  2. Written Warnings: If necessary, a written warning will be issued for significant performance issues or policy violations, outlining the reasons and expectations for improvement.
  3. Suspension: An employee who receives multiple warnings may face suspension without pay. This allows time for review and evaluation of the situation.
  4. Immediate Termination: In cases of severe violations, such as theft, drug use, harassment, or gross misconduct, immediate termination may occur without following the usual steps.

  • Group Size: Comprises 2-6 participants, allowing for a more intimate training experience.

  • Specialized Focus: Creation of tailored small groups for:
    • Learning new or advanced exercises.
    • Focusing on specific fitness specialties.

 

Team Training

  • Sport-Specific Focus: Customized training programs designed for athletic teams.

LIFT (Strength Training)

LIFT is an essential component of the Oak and Iron Fitness program, complementing our signature HIIT classes. These strength training sessions are designed to build muscular strength, endurance, and mass without any cardio elements. We will always use a full body approach to building our program. 

 

Format: Participants will work in small groups of 2-3, utilizing strategically planned rest periods to optimize performance and results.

What to Expect: Prepare for fast burst intervals, dynamic exercises, and a fun atmosphere filled with sweat and smiles. The class includes partner workouts, team competitions, and unique challenges to push your limits.

STEADY (LISS – Low intensity steady state conditioning)

STEADY focuses on moderate-intensity conditioning, emphasizing endurance, longevity, and heart health. This class incorporates core work and mobility exercises to enhance overall fitness.

What to Expect: Participants will engage in steady-paced workouts designed to build endurance while maintaining a moderate effort level.

At Oak and Iron Fitness, our commitment to service means that our work schedules are driven by client needs rather than set hours.

 

Business Hours:

  • Monday to Friday: 5:00 a.m. – 7:30 p.m. EST
  • Saturday: 8:30 a.m. – 11:00 a.m.
  • Sunday: 9:00 a.m. – 10:00 a.m.

Please note, there may be occasions when client demands require you to be available outside of these hours.

 

Employees are responsible for accurately logging personal training sessions and class schedules each pay cycle. It is crucial to report any discrepancies in your timesheets compared to the actual hours worked. Falsifying time records can lead to disciplinary action, including termination.

 

As part of your role, you are expected to arrive at least 15 minutes early for sessions or classes. Adhering to these arrival and departure times will be considered in your annual performance evaluation.

 

Meal Breaks

Employees have the flexibility to schedule meal breaks at their discretion, aligning with their personal schedules and client commitments.

 

Breaks

At Oak and Iron Fitness, we recognize the importance of taking breaks to recharge. Use your best judgment to determine the best times to take breaks based on your clients’ schedules.

 

Remote Work

Certain roles may allow for remote work. As a results-driven company, we expect timely completion of tasks. If you can fulfill your responsibilities remotely, you are free to choose the work environment that enhances your productivity.

 

Holiday Hours

Classes held on holidays will be compensated at a rate of 1.5 times the regular pay.

 

Attendance

Our operations are centered around client needs, meaning physical presence may not always be necessary. However, attendance at our bi-weekly team meetings on Wednesday afternoons and Friday meetings at 10 a.m. is mandatory. If your schedule conflicts with a client’s, please coordinate with another trainer to ensure client needs are met.

 

If you are unable to work due to illness or emergencies, inform your supervisor via Slack and message a member of the leadership team on the same day. Please ensure your clients have an alternative trainer when possible. Do not rely on texts, voicemails, or passing messages; direct communication is required. Failure to report absences may lead to disciplinary action, including termination. Patterns of unavailability will be addressed in accordance with federal and state laws.

 

If you miss three or more consecutive days due to illness or hospitalization, a physician’s note may be required to return to work. This note must be presented to the CEO or a leadership member before your scheduled shift and will be kept on file.

 

No Call, No Show

Absences without proper notification will be classified as a no call, no show, resulting in an unexcused, unpaid absence and potential disciplinary action. Employees who miss three consecutive days without prior notification will be considered to have voluntarily resigned.

 

Planned Absence

All planned absences must be approved in advance. PTO requests should follow the PTO Policy and can be submitted via email. For scheduled appointments, approval is required at least two weeks in advance. If that timeline isn’t possible, notify us as soon as you can, and update the coverage sheet in Google with your requested days off.

 

Unplanned Absence

For unexpected illnesses or emergencies, follow the notification process outlined above.

 

Inclement Weather

Employees are generally expected to work during inclement weather unless the company announces an emergency closing. If Oak and Iron Fitness closes for emergencies, you may be expected to work remotely as per our Working Remote Policy. In non-emergency situations, you should remain available and accessible to clients and colleagues.

Time Off

 

At Oak and Iron Fitness, we recognize that maintaining a healthy work-life balance is essential to our employees’ professional success. We encourage our team members to utilize their time off, as we firmly believe that family comes first.

 

Requesting Time Off

To request time off, please complete the Google Sheets coverage form at least two (2) weeks in advance. If you do not submit your request within this timeframe, approval may not be granted unless extraordinary circumstances arise. Additionally, please arrange for your personal training clients to be covered by another trainer during your absence.

 

Parental Leave

Oak and Iron Fitness offers up to 12 weeks of parental leave for employees following the birth of a child or the placement of a child through adoption or foster care. This leave is intended to allow employees to care for and bond with their newly placed children.

 

Eligibility Criteria:

 

  • Employees must have been employed with the company for at least 90 days.
  • Employees must be full-time or part-time regular employees (temporary employees and interns are not eligible).

 

Qualifying Events:

 

  • The employee has given birth to a child.
  • The employee is the spouse or committed partner of a woman who has given birth.
  • The employee has adopted a child or has been placed with a foster child (the child must be 17 years or younger).

Requests for paid parental leave should be submitted through the appropriate channels.

 

Holidays

Oak and Iron Fitness recognizes the following holidays:

  • New Year’s Eve (December 31)
  • New Year’s Day (January 1)
  • Martin Luther King, Jr. Day (Third Monday in January)
  • Memorial Day (Last Monday in May)
  • Independence Day (July 4)
  • Labor Day (First Monday in September)

  • Holiday Break (the period between December 24 and January 1 each year)

 

Employees who voluntarily work during holiday class schedules will receive time and a half for their class pay. While some employees may be asked to work on recognized holidays due to business needs, we will make every effort to provide advance notice. If you are asked to work on a holiday, you may take another day off within 30 days of that holiday, subject to supervisor approval. Full-time employees are expected to be available for at least one holiday per year.

 

Jury Duty Policy

To support employees fulfilling their civic duties, Oak and Iron Fitness provides regular pay for up to two (2) workdays (Monday-Friday) for time spent serving jury duty.

 

Eligibility:

  • All full-time and regular part-time employees are eligible for this benefit.

 

Employee Responsibility:

 

Employees must notify their supervisor upon receiving notification from the courts and provide copies of the subpoena or jury summons. Employees appearing in their own cases as plaintiffs or defendants, or for non-subpoenaed appearances, will not receive paid time off and should use PTO for such instances.

 

Bereavement Leave

 In the unfortunate event of a death in your immediate family (parents, children, spouses, siblings, grandparents, or aunts/uncles), please inform your supervisor or a member of Leadership. You will be granted three (3) days of bereavement leave.

 

Military Leave

 Employees who serve in the reserve corps of the armed forces or the National Guard are entitled to a temporary leave of absence without pay while fulfilling military duties as required by federal and state law. A letter from the commanding officer is required to establish the dates of duty.

 

Lactation/Breastfeeding

 For up to one (1) year after the birth of a child, employees who are breastfeeding will be provided reasonable break times to express milk. Employees working off-site will be accommodated in private areas as necessary. For non-exempt employees, breaks exceeding 20 minutes will be unpaid and should be recorded accordingly.

 

Personal Leave of Absence

 Full-time regular employees who have completed at least one (1) year of service may request a personal leave of absence without pay. Requests should be made through a member of Leadership and will be evaluated on a case-by-case basis. If the need for leave is foreseeable, please provide at least two (2) weeks’ notice. Supporting documentation may be required, and upon returning to work, you may need to submit verification of your eligibility to return, including any job-related limitations from your medical provider.

Compensation

 

Pay Periods

At Oak and Iron Fitness, our formal work week begins at midnight on Sunday and concludes at midnight the following Saturday. Employees are paid on a semi-monthly basis, resulting in 24 pay periods each year. If a scheduled payday falls on a holiday, employees will receive their paycheck on the preceding business day. Paychecks are directly deposited into employees’ accounts on the 15th and the last day of each month (i.e., the 30th or 31st).

 

We adhere to the Fair Labor Standards Act (FLSA) and expect employees to notify their manager immediately if they identify any errors related to pay rates, hours worked, or time allocation. We strive to minimize errors in paychecks, including improper deductions. Should an employee believe an error has occurred, they should report it in writing to a member of the leadership team. We will investigate any reported issues thoroughly and take appropriate corrective action to ensure employees receive the pay they are entitled to.

 

The Company prohibits retaliation against individuals who report concerns regarding pay issues or who cooperate in investigations. Any form of retaliation is unacceptable and will result in disciplinary measures, up to and including termination.

 

Performance Evaluation

At Oak and Iron Fitness, we recognize the importance of ongoing performance reviews to align expectations between employees and the Company. Our goal is to highlight your strengths and identify areas for development. New hires will receive a 90-Day Review to assess their progress in the role. We also conduct biannual reviews on each employee’s hire anniversary and every six months thereafter to continue assessing performance expectations. If an employee transitions to a new role, a designated review period may be established to ensure mutual expectations are met.

 

We believe this process thrives on open and honest communication. We encourage employees to engage seriously in this process and voice any concerns. Completed and signed evaluation forms will be kept in the personnel file, and employees will receive copies of their performance evaluations. It is important to note that this evaluation process does not create an employment contract or alter the at-will status of employment.

 

Performance evaluations do not guarantee automatic salary increases. Salary adjustments will be based on overall performance and alignment with position responsibilities. Oak and Iron Fitness conducts annual salary reviews, and out-of-cycle increases may be considered with approval from the employee’s manager and leadership team.

 

Pay Structure

Personal Training

Personal Trainers will receive a commission percentage on all completed sessions. This percentage is negotiable upon hire and will be evaluated annually. The commission rate will be determined based on factors such as education, credentials, client retention, existing client base, feedback, and performance evaluations.

 

Class Pay

Compensation for class instruction is based on attendance, with three tiers of pay:

  • Less than 6 participants
  • 6 to 10 participants
  • 11 or more participants

Higher attendance leads to increased hourly pay, providing incentives for instructors to maximize participation.

 

Leadership Team

Roles within the leadership team include General Manager, Operations Manager, VP of Business Development, and Member Experience Manager. Compensation for these positions is determined by time commitment and desired outcomes. At the CEO’s discretion, leadership roles may also include a percentage of the location’s net profit as part of their compensation package.

Workplace Guidelines

 

Personal Appearance

At Oak and Iron Fitness, we embrace a casual atmosphere, but your appearance is essential in projecting a professional image. Since our employees interact with clients daily, maintaining a polished and appropriate appearance is important and reflects our values as a company.

 

If we determine, at our sole discretion, that your attire is inappropriate or offensive, you may be asked to change your clothing. While we encourage wearing Oak and Iron branded gear when possible, it is not mandatory. However, repeated violations of this policy may lead to disciplinary action, up to and including termination.

 

Confidentiality

At Oak and Iron Fitness, we prioritize the protection of our confidential information and business secrets. Confidential information may include internal reports, policies, procedures, and other sensitive data. Trade secrets encompass details related to the development of systems, processes, products, designs, formulas, and technology.

 

Employees must always respect financial disclosure laws and third-party intellectual property. It is your responsibility to safeguard all confidential information, which includes communication through any means, such as telephone, fax, and email. 

 

Unauthorized disclosure or misuse of confidential information not available to individuals or entities outside the Company may result in disciplinary action, up to and including termination.

 

Do not disclose confidential financial data or any non-proprietary Company information. Additionally, refrain from sharing confidential information about our business partners, vendors, or customers. If you encounter any building security issues, report them to your department manager.

 

For inquiries about an employee or former employee, please forward the request to the employee’s supervisor. Inquiries regarding clients should be directed to Leadership. Confidential information should only be shared on a “need to know” basis.

 

This policy serves to remind employees of the importance of discretion at all times and is not meant to inhibit normal business communications. Furthermore, nothing in this policy is intended to infringe upon employee rights under Section Seven (7) of the National Labor Relations Act (NLRA).

 

 

Oak and Iron Fitness Manual Electronics Application Policy

 

Purpose

This policy is designed to safeguard the security and integrity of Oak and Iron’s data and technological infrastructure. Any violations of this policy may result in immediate disciplinary actions, up to and including termination. Employees who become aware of any breaches must report them in writing to the Vice President of People or a member of Leadership without delay.

 

Company Property

Oak and Iron provides various electronic devices and media for employee use, including but not limited to computers, laptops, smartphones, telephones, voicemail systems, printers, internet connections, emails, televisions, and video players. These devices are the property of the Company, and employees should not expect any privacy while using them. Unauthorized removal of any company device from the premises is prohibited and may be considered theft.

 

Telephone Monitoring

All business telephones at Oak and Iron can be monitored. Employees should not expect privacy when using a company phone. While personal calls are permitted, please be mindful of other clients and employees. 

 

Company Email

The email system provided by Oak and Iron is intended for business purposes only. Employees should not expect privacy regarding the content of any email transmissions. All emails are the property of the Company, and the Company reserves the right to monitor both email usage and content. Employees must write emails as they would any other business correspondence and avoid sending confidential or privileged information without the necessary safeguards.

 

Computer Use

Employees are granted access to computers, email, and software for work-related activities. All equipment and software are the property of Oak and Iron, and the Company reserves the right to monitor usage at any time. Employees are required to use their Oak and Iron-issued laptops (MacBook Pro) for all business purposes. Downloading unauthorized software or using the Company’s systems for illegal activities will result in disciplinary action.

 

Internet Usage Policy

Employees must not use Oak and Iron’s computers to access the internet for offensive or inappropriate content. All internet activity conducted through company systems is considered part of the Company’s business records.

 

Personal Device Policy

Recognizing the convenience of personal devices, Oak and Iron allows employees to connect personal devices to Company-owned resources. Employees must handle their devices with the same care as Company-issued devices; failure to do so may result in disciplinary action.

 

Personal Device Privacy

While Oak and Iron respects your privacy, the Company reserves the right to audit personal devices used for business purposes to ensure compliance with this policy. Refusal to allow inspection may lead to disciplinary action. Employees needing assistance with their personal devices for work should contact Oak and Iron’s IT department.

 

Device Protocols

Personal devices should be silenced during meetings and other professional settings to minimize disruptions.

 

Restrictions on Authorized Use

Employees are expected to exercise discretion when using personal devices for work. Company policies regarding harassment, discrimination, and confidentiality apply equally to personal device use. Excessive personal communications during work hours may hinder productivity and should be managed appropriately.

 

Privacy/Company Access

Employees should not expect privacy on personal devices used for business, as Oak and Iron reserves the right to monitor communications through its networks. Management may review personal and Company-related data on personal devices, especially during investigations or litigation.

Business Gifts Policy

To maintain professionalism and integrity in our relationships with business contacts and clients, Oak and Iron Fitness has established the following policy regarding gifts. Employees are strictly prohibited from requesting, demanding, or soliciting anything of value from our business associates, including vendors, customers, and clients, either for themselves or for others.

 

If you are offered, promised, or receive any gifts or items of value from business associates in connection with your work at Oak and Iron Fitness, you must immediately inform your supervisor, regardless of the gift’s value.

 

Personal Property Policy

Oak and Iron Fitness is not responsible for personal property that is lost, misplaced, or stolen. Employees are encouraged to take necessary precautions to safeguard their personal belongings. Additionally, employees should avoid having personal mail sent to the workplace, as it may be opened automatically.

 

Please note that your work area and other Company property may be inspected or searched at any time, with or without notice. It is important to keep your workspace neat and organized, as employees do not have a reasonable expectation of privacy while on Company premises.

 

Fraternization Policy

To foster a positive work environment and prevent issues related to favoritism, morale, and potential claims of harassment, managers and supervisors are discouraged from engaging in romantic or sexual relationships with employees they supervise, either directly or indirectly.

 

For Managers and Supervisors:

If you are in a romantic or sexual relationship with someone you supervise, you must self-report this to Company leadership. The Company will make reasonable efforts to address the situation, which may include reassigning one or both employees or changing reporting relationships. If reassignment is not feasible, the Company may, at its discretion, terminate one or both employees involved. Violations of this policy may result in disciplinary action, up to and including termination.

 

For Staff Personnel:

Staff members who are perceived by others as having significant influence over colleagues’ advancement or compensation are also prohibited from engaging in romantic or sexual relationships with other employees. Those designated by the Company as having this influence will be notified accordingly.

 

If reassignment does not resolve the perceived issues when a designated staff person is involved in such a relationship, they will be given a period of up to 45 days to end the relationship. Failure to do so will result in disciplinary action, which may include termination.

 

Music Policy

When playing music in class at Oak and Iron Fitness, it’s important to ensure the volume is suitable for both the type of class and its size. The music should be non-explicit, and a good rule of thumb is that 80% of participants should approve of the selection. While the playlist is a chance to express your personality and tailor the class, the focus should always be on client satisfaction. Make sure to finalize your playlist before the class starts, as changes or edits during the session are not allowed. If you’re not comfortable selecting music, you can use one of the pre-made Oak and Iron Fitness playlists available on Spotify.

Health, Safety, Security

 

Tobacco-Free Workplace

At Oak and Iron Fitness, smoking and the use of tobacco or tobacco-related products (including but not limited to cigarettes, e-cigarettes, and chewing tobacco) are strictly prohibited in all Company buildings, facilities, worksites, vehicles, and during virtual meetings. Employees who wish to smoke or use tobacco products may do so during their breaks or lunchtime, outside of Company buildings, in designated areas, and in accordance with local laws. Employees using chewing tobacco must provide their own disposal container and are responsible for disposing of it properly in outside dumpsters. Please be respectful of Company property and fellow employees; littering, such as leaving cigarette butts or spitting chewing tobacco on the ground, is not allowed.

 

 

Drugs

Oak and Iron Fitness maintains a drug-free workplace and adheres to specific guidelines for workers’ compensation insurance. We are committed to providing a safe environment free from illegal or unauthorized drugs and actively discourage drug abuse among our employees.

 

The Company prioritizes safe and efficient working conditions. Substance abuse undermines health, safety, and overall effectiveness at Oak and Iron Fitness. Employees who are under the influence of drugs while on duty jeopardize not only their own health and safety but also that of their colleagues, leading to issues such as absenteeism, decreased job performance, increased workloads for others, and potential disruptions in customer service. Any identifiable use of illegal or unauthorized drugs, or being under the influence of such substances during work hours, will result in disciplinary action, which may include termination.

 

For the safety of all staff and clients, Oak and Iron Fitness reserves the right to conduct drug or alcohol tests on employees based on reasonable suspicion or following an accident. Certain positions may require regular drug testing at the Company’s discretion. If testing is warranted, employees may be transported to a certified lab for testing at the Company’s expense.

 

Any employee found to use, sell, possess, or distribute illegal or unauthorized drugs (including excessive amounts of prescription or over-the-counter medications) while on Company premises, performing Company-related duties, or operating any Company equipment will face disciplinary action, up to and including termination. Any suspected illegal substances will be handed over to law enforcement. Employees must report any drug-related convictions to Leadership within 24 hours; failure to do so may result in disciplinary measures.

 

Employees taking prescribed medication should consult a healthcare professional regarding any potential impact on their job performance and must inform their supervisor of any limitations. The Company will make reasonable accommodations based on these notifications.

 

Employees who fail a drug test may be eligible to participate in a last chance program at Management’s discretion.

 

 

Alcohol

Occasionally, Oak and Iron Fitness may provide alcohol to employees. Participation in drinking is entirely voluntary, and no employee is obligated to consume alcohol. Employees must ensure their work performance and judgment remain unaffected by alcohol consumption. Each employee is responsible for their conduct while consuming alcohol, and the Company reserves the right to refuse service to any employee at any time.

 

If you choose to drink, please do so responsibly and ensure you have a safe means of getting home. Oak and Iron Fitness strictly prohibits driving under the influence of alcohol or any controlled substances. Employees are forbidden from operating Company vehicles while impaired and may face disciplinary action, up to and including termination, for violations.

The Company also does not tolerate behaviors associated with alcohol-related offenses, including public drunkenness or providing alcohol to minors. Employees engaging in such conduct will be subject to disciplinary action, up to and including termination.

 

Employees must report any incidents involving citations, charges, or convictions related to alcohol offenses to Leadership within two business days. The Company will investigate such incidents, and employees may be placed on suspension during the investigation, with or without pay. Based on the outcome, disciplinary action, including termination, may result.

 

 

Safety

Oak and Iron Fitness is committed to promoting a safe workplace. Each employee’s supervisor will review applicable safety procedures at the time of hire and periodically thereafter.

 

 

Accident or Injury

In the event of an injury to an employee or client, it is crucial to report the incident immediately to the nearest management personnel. Appropriate medical assistance will be determined, and Leadership will direct the employee to an approved medical facility. If no manager is available, use your best judgment to provide necessary care.

 

An incident report must be completed within 24 hours by the involved employee, the onsite manager, and any witnesses, then submitted to the CEO. Witnesses to accidents or injuries must report the incident to Management and, if needed, call 911 for emergency assistance. All employees are required to report any malfunctioning hazardous equipment to management immediately.

 

 

Workers’ Compensation

Oak and Iron Fitness provides a comprehensive workers’ compensation insurance program at no cost to employees, covering injuries or illnesses sustained in the course of employment that require medical treatment, as long as the on-the-job accident is the major contributing cause. Subject to applicable laws, this insurance may provide partial wage benefits after a short waiting period. However, if an employee is found to violate the Company’s drug and alcohol-free policy, benefits may be reduced or eliminated.

Employment Separation  

 

Resignation

If you choose to resign from your position at Oak and Iron Fitness, we encourage you to speak with Leadership beforehand to discuss any potential solutions or support we can provide. Should you decide to proceed with your resignation, we request that you submit a written notice at least two (2) weeks in advance. If you hold a Leadership, Management, or senior staff position, please provide a minimum of four (4) weeks’ notice. Your notice should be directed to Leadership and include your effective resignation date and your reasons for leaving. Oak and Iron Fitness reserves the right to determine your official resignation date as deemed appropriate. An exit interview may be conducted upon request. To be eligible for rehire, you must leave Oak and Iron Fitness in good standing.

 

Termination

All employment at Oak and Iron Fitness is considered “at-will.” This means that either you or the Company can terminate your employment at any time, with or without cause and with or without prior notice. Upon separation from the Company, you are required to remove any personal belongings from the premises.

 

Return of Company Property

All Company property issued to you, including but not limited to computers, keys, fitness equipment, and Company credit cards, must be returned at the time of your termination. You will be held financially responsible for any damaged, lost, or stolen property. If any items are not returned within three (3) business days, you will be held accountable, and failure to return items may be considered theft, potentially resulting in criminal prosecution by Oak and Iron Fitness.

Team Meetings Policy

At Oak and Iron Fitness, we prioritize effective communication and teamwork through our bi-weekly team meetings. These meetings are held on Wednesdays and provide a platform to share the latest news and engage in open discussions. Employees can participate virtually.

 

In addition, we conduct a mandatory floor meeting every Friday at 10 AM, where in-person attendance is expected. These meetings are crucial for all employees to stay informed about new projects, clients, policies, benefits programs, special events, and other important updates, including opportunities for continued education.

 

We encourage all employees to attend virtual meetings with their cameras on to foster engagement and connection. If you cannot attend a meeting, please notify your manager in advance.

 

Any significant company announcements discussed during team meetings—pertaining to policies, procedures, office operations, or other critical information—will also be communicated to all employees through written notifications, such as emails and recaps made available for reference.

I acknowledge that I have received the Oak and Iron Fitness Employee Handbook, which outlines important information about the Company. I understand that I should consult Leadership if I have any questions that are not answered in the handbook.

 

I recognize that my employment with Oak and Iron Fitness is voluntary and that there is no specified duration of employment. Therefore, either I or the Company can terminate this employment relationship at any time, with or without cause, as long as it does not violate applicable federal or state laws. I understand that only the CEO or President of Oak and Iron Fitness has the authority to modify the at-will employment policy or enter into any agreement that contradicts this policy. Any such modifications must be documented in writing and signed by both the employee and the President.

 

I acknowledge that the policies, benefits, and information outlined in this handbook are subject to change. Revisions may occur, except for the at-will employment policy. Any changes will be communicated through official notices, and I understand that updated information may supersede, modify, or eliminate existing policies. Only Leadership has the authority to adopt revisions to the policies contained in this handbook.

 

Furthermore, I understand that this handbook does not constitute a contract of employment. It is my responsibility to read and comply with the policies outlined in this handbook, as well as any future revisions. This handbook aims to inform employees of the importance of discretion and does not intend to restrict normal business communications. Additionally, nothing in this handbook is meant to infringe upon employee rights under Section Seven (7) of the National Labor Relations Act (NLRA).

 

By signing this acknowledgment in Oak and Iron Fitness’s online HR platform, I confirm that I have read and understand the policies of the Company and agree to adhere to these policies as an employee of Oak and Iron Fitness.
